In the following you will find all the information about how the Kontist Tax Service works, what you can expect from us and where we need your cooperation.

If you are a brand new customer, please visit the 'Your First Steps' section first and send us all the necessary documents. Only then we can do all of the work for you.

Your First Steps

Consent required

1. Documents

Please send us all necessary documents and accesses. You should have already received a message from us in your Kontist App. To start working we need all of these:
  • Your last Income Tax Assessment
  • If available: Access to your accounting tool (e.g. Lexoffice, Debitoor). Please send the access to steuern@kontist.com
  • If available: Data from your previous bank accounts for the current calendar year
  • If available: Accounting data from your previous Tax Advisor (details can be found here: Data Export)

2. Power of Attorney

As soon as we have received your Income Tax Assessment (alternatively: your tax number and personal tax ID), we will submit a 'Power of Attorney' to your responsible tax office. With this 'Power of Attorney', we can represent you in front of the tax office and the tax office mail will be sent directly to us.

Note: It may take a few weeks for the 'Power of Attorney' to be deposited with the tax office and for all tax office letters to come to us directly. Unfortunately, we are dependent on the tax office and each tax office has a different processing speed. If you still receive a letter from the tax office, please send us a photo / scan of the letter in the Kontist App or to steuern@kontist.com as soon as possible.

3. Tax Advisory

As soon as we have applied for the 'Power of Attorney' at the tax office, we can take over the complete Tax Advisory for you. Feel free to contact us at any time if you have any questions. You can best reach us:

4. Bookkeeping

We take care of your bookkeeping in the month or quarter that follows your registration date.

Example: You registered for the Tax Service on January 16, 2021.

  1. We will start the accounting in February 2021 if you have to submit a monthly VAT return or in the second quarter of 2021 if you have to submit a quarterly VAT return.
  2. We will send the first advance VAT return on March 10, 2021 (for February) or on July 10, 2021 (for the 2nd quarter of 2021).

5. Receipts

In order to guarantee you the fastest and most accurate bookkeeping possible, you should provide us with all of your incoming and outgoing invoices, receipts and contracts as soon as possible. You can add these documents directly to the particular transaction in the Kontist App. With the Kontist Tax Service you no longer need any other accounting tool.

6. Real-Time Accounting

With the Kontist App you can "look over our shoulder" in real time. In the transaction view you can always see which transactions we have already booked and how we have recorded them.

Important: If you were a Kontist Premium customer before, you know the possibility to recategorize the bookings. This option does not exist for tax service customers. Since we take on legal responsibility for bookkeeping and advance VAT returns, you have no way of changing bookings. If you have any questions or comments about specific transaction, you can always send us a message about every booking.

7. Advance VAT returns

We will prepare your advance VAT returns right on time for the key date. You can view your expected payment load at any time in your Kontist app under the "VAT" tab. On the due date, we will send the advance notification to the tax office and send you an email with the tax refund or payment. You then have to transfer this amount to the tax office within 3 days. Exception: If you have deposited a direct debit mandate with the tax office, the tax office will debit the amount from your account and you don't have to do anything.

The sales tax advance returns must be made within 10 days after the advance notice period (either a month or a quarter) and sent to the tax office. The advance VAT return for January 2021 must therefore be submitted on February 10 by 11:59 p.m. Important: If the 10th is on a public holiday or weekend, the advance VAT return must be submitted on the next working day.

Yearly Financial Statements and Tax Returns

How is my Income Tax Return prepared and what is included in the flat rate for my Income Tax Return?

Your Income Tax Return is first drawn up on the basis of your Annual Financial Statements. The costs for this are lump-sum in the monthly fees in the amount of 149, - EUR / month (net) included.

All other types of income and investments are dealt with separately and can lead to additional costs if there is considerable extra effort.

You will receive a cost estimate in advance as soon as you have provided us with an overview of the exact composition of your income (e.g. previous tax assessments, information on other types of income (rental and leasing, capital income, etc.))

Data Export

Have you worked with another Tax Advisor before?

If so, please do a data export so that we can provide you with the best possible support, also with regard to the next VAT Tax Return.

The previous Tax Advisor can provide us with the data via a backup file using the DVSDRW-Format (DATEV).

Alternatively, an export as a .csv file would also be sufficient.

In addition, we need the following documents to compare the data:

your master data (e.g. last Tax Assessment from the tax office)

your current totals and balances list

your current business evaluation

your most recent Tax Returns

your last Profit-and-Loss calculation (EÜR)

This information should be made available to us by all common systems of the various Tax Advisors.

Please also remember to send us the data digitally. Unfortunately, we cannot accept CD-ROM or similar.

Composition of the Monthly Flat Rate

What your monthly fee of 149, - EUR / month (plus VAT) / 99,- EUR / month (plus VAT) for small businesses include:

What Additional Costs can arise?

We would like to offer you the broadest possible range of services for the monthly fixed price of 149 EUR. Some issues that do not affect your self-employed activity will be billed separately.

The following items are charged at EUR 99 each (once per case) by Kontist Steuerberatung:
  • Appendix N (Employee - Customer/ Partner)
  • Annex SO (Other Income)
  • Annex AUS (Foreign Income)
  • Appendix R (Pensions and Benefits)
  • Annex KAP (Investment Income)
The following matters are dealt in advance with an Additional Fee:
  • Maintenance Services or Costs
  • Vocational Training
  • Sickness and Disability
  • Divorce Costs
  • Any Damage by Natural Causes
  • House
  • System for children from 18 years
  • KAP investment income for trading / trading in other financial products
  • Annex V (rental and leasing)
  • Audits by the tax office
Currently we are unable to map the following issues:
  • Appendix FW (Promotion of Home Ownership)
  • Appendix L (Agriculture and Forestry.)

There are no additional costs for ongoing activities by Kontist Steuerberatung in connection with Financial Accounting, Advance Tax Payments and Advance VAT returns.
